Assistant Property Officer / Property Officer (Site)

Immediate Supervisor : Condominium Manager / Team Manager / Property Executive (Head Office)

General Summary of Responsibilities

  • Ensure the smooth operations and effective management of the estate.
  • Day-to-day supervision of term contractors
  • Ensure compliance with Company policies & ISO Procedures.
  • Ensure compliance with Company’s BizSafe policies and procedures
  • Ensure all residents’ complaints are attended to promptly and efficiently.
  • Attend to any other function or duties that may be assigned from time to time.

Specific Job Requirements

Maintenance

  • In charge of the maintenance of all facilities (swimming pool, spa pool, sauna, gym, squash, tennis courts, playgrounds, putting green, BBQ pits, function room, games room).
  • Monitor attendance of service providers, i.e. security and cleaners, landscaping, pest control, etc
  • Co-ordinate and supervise all planned maintenance schedules.
  • Defect list and fixing date of inspection and closing summary of defect list and appointment dates.

 

Event Management

  • Planning and organizing activities during major festive seasons such as Chinese New Year, Hari Raya, Deepavali, Christmas and National Day.

 

Administration

  • Update Records :
    1.  SP list;
    2. Change of address;
    3. Master list.
    4. Handing over of security pass / car park label
    5. Collection of Admin fee / Renovation fee / Security Pass

 

  • Administer the following :
    1. Refund of renovation deposit
    2. Refund of other deposits (Security pass / 2nd car park label / BBQ pits       / Function Room)
    3. Strata roll

 

  • Ordering and keeping track of stationery inventory including office inventory
  • Postage record for mailing
  • Typing of minutes / correspondence / letters
  • Filing and updating of all administrative documents and files and ensure that they are kept and filed in a manner which facilitates their easy retrieval;
  • Registration of movement of key (in key press)
  • Preparation of circular to Subsidiary Proprietors / residents
  • Distributing incoming fax / letters and keeping proper records of correspondences
  • Keeping record of files
  • Keeping record of all operational M&E drawing and tracing
